Job Discription

Door Step School (DSS) was established in Mumbai, India in 1989 with the aim of addressing literacy amongst the marginalized sections of society. The school provides education and support to the often-forgotten children of pavement dwellers, slum dwellers and construction site families. The school has since expanded to cover both Mumbai and Pune and has successfully reaches out to over 1,00,000 children annually. Many of these children are not enrolled in school and have limited access to books and a place to study. Additionally, many children (particularly girls) drop out of school to work or care for younger children. With neither support nor resources at home some children also suffer from very low learning levels.

Since inception Door Step School has been striving to provide multiple educational services, as per the needs of the children through Balwadis (kindergarten), School Enrolment services, Study classes for children, literacy classes for out of school children, computer literacy classes and libraries for all. Door Step School provides a school bus service for younger children and also runs a mobile school for street children and for those who work and live in congested areas where there is no space to run a class on a regular basis. While conducting all these programmes, Door Step School is flexible in terms of timings, location of classes and there is no limit on minimum number of children to start a new class.

In 1999, Door Step School (Door Step School) decided to intervene and collaborate with MCGM to support them in imparting quality education to the children. Such intervention was considered essential in view of the problems of non-enrolment, wastage and stagnation observed over the years of working in the urban slum communities. It was aimed at facilitating the learning process as well as making the school a place conducive for learning. Door Step School achieves its goal by running various educational programmes like Reading Promotion activities, Libraries, Remedial Class(Study Class), Mental health project, Pre-School(Balwadi) amongst others in the Municipal schools.

The Area Coordinator serves as a key link between the Associate Director and other staff of the Door Step School Direct Education Program. S/he is responsible for the overall management of coordinators and teachers and for ensuring quality implementation and impact of DSS services in the field.

KEY AREAS OF RESPONSIBILITY
1. To implement day to day finance operations of the Accounts Department
2. To assist the Finance and Administration Officer (FAO) develop appropriate financial systems and implement them effectively
3. To prepare budgets and financial reports as necessary and submitted on time.
4. To assist the FAO to prepare necessary documents for financial audit.
5. To provide administrative and logistical support
6. To supervise the work and auxiliary part-time employees (cleaner etc.)

SPECIFIC JOB RESPONSIBILITIES

1. To implement day to day finance operations of run the Accounts Department
• Process all advances for travel payments both by cheque and cash as per financial policies and procedures and approved requisition
• Handle bank transactions as assigned (cheques deposit and cash withdrawal for petty cash)
• Maintain up to date financial records in an efficient and easily retrievable form on Tally
• Make payments for office rentals and facilities
• Manage petty cash expenses for the office
• Make reimbursement to staff within the given limitations



2. To assist the Finance and Administration Officer (FAO) to develop appropriate financial systems and implement them effectively
• Assist the FAO to regularly review the financial policies and procedures and suggest improvements as may be necessary.
• To assist FAO in processing FCRA prior permission and registration applications for partner NGOs

3. To prepare financial reports as necessary and submitted on time.
• Prepare cash reconciliation on a monthly basis
• to prepare monthly accounts statements breakdown by project/donor and as per expenditures

4. To assist the FAO to prepare necessary documents for financial audit.
• prepare financial reports and other financial documents for scrutiny by auditors

5. To provide administrative and logistical support
• To ensure all Dasra staff are covered under the relevant insurance policy. For this, be responsible for processing of all documents and follow up with staff and insurance company.
• Maintain register of all incoming and outgoing mail including couriers (*** new)
• Ensure that telephone systems and internet connections are in good working order and to ensure immediate maintenance to rectify the problem
• To provide logistical assistance to program staff during workshops, conferences and other events (travel, photocopy, materials etc.)
• To ensure proper maintenance of office equipment
• To handle all procurement and issue of office supplies
• To maintain an up to date efficient filing system for the finance department

6. To supervise the work of the auxillary part-time employees (cleaner etc.)
• Supervise the work of the part time workers (office cleaner) and ensure expected standards are met.

Personnel Specifications
Education and Work Experience
• Graduate degree in business administration/finance management
• Minimum of 1 year of professional experience in the accountancy and administration.. Experience in development sector, preferably with grass-root experience would be added advantage.

• Must be comfortable working with a flexible and demanding work schedule and environment.
• Excellent organizational skills, meticulous attention to detail and ability to adapt to changing situations. Able to multi-task and prioritize while performing a variety of tasks with minimal direction.
• Ability to self-initiate, problem solve, make decisions independently and to know when to seek additional guidance.
• Keen learning attitude and participatory in approach.
• Willingness and flexibility to move seamlessly from role to role depending on the context.
