Role Overview: The Executive HR & Admin is responsible for supporting the day-to-day HR and administrative operations at The PRIDE India. This includes talent acquisition, employee engagement, compliance, and office management to ensure smooth organizational functioning and adherence to HR best practices.

Key Responsibilities:

Talent Acquisition & Recruitment:

• Manage end-to-end recruitment processes, including job posting, shortlisting candidates, scheduling interviews, and conducting initial screenings.

• Collaborate with department heads to understand staffing needs and provide timely hiring solutions.

• Maintain a database of potential candidates and build relationships with educational institutions and recruitment agencies.

Employee Onboarding & Off boarding:

• Facilitate smooth onboarding of new employees, including orientation sessions, documentation, and system setup.

• Ensure proper exit formalities, conducting exit interviews, and managing clearance procedures.

HR Operations & Employee Engagement:

• Maintain and update employee records in the HR system and ensure compliance with statutory requirements.

• Assist in implementing employee engagement initiatives, such as team-building activities, training programs, and recognition schemes.

• Manage leave applications, attendance records, and employee queries related to policies, payroll, and benefits.

Performance Management:

• Assist in coordinating the annual performance review process, ensuring timely completion and documentation.

• Provide administrative support to department heads in managing performance evaluations and feedback.

Compliance & Legal Requirements:

• Ensure the organization adheres to labour laws, employment standards, and government regulations.

• Assist in managing employee grievances and disciplinary actions in line with organizational policies.

Office Administration:

• Oversee day-to-day office administration, including facility management, vendor management, procurement of office supplies, and maintaining office assets.

• Coordinate with external agencies for office maintenance, IT support, and housekeeping.

• Manage travel arrangements, meetings, and event logistics for the organization as needed.

• Oversee all agreements related to renting office spaces in various project locations, ensuring timely execution, compliance with terms, and renewal as required.

Payroll & Compensation Support:

• Assist in preparing payroll by coordinating attendance, leaves, and other compensation-related inputs.

• Ensure timely and accurate submission of data to the finance team for processing.

HR Analytics & Reporting:

• Generate HR-related reports on headcount, attrition, employee engagement, and performance metrics.

• Provide data support for strategic decision-making by the management team.

Learning & Development:

• Support the implementation of training programs and workshops, including scheduling, logistics, and feedback collection.

• Assist in identifying training needs and areas for skill development across departments.

Other Duties:

• Provide general support to staff and management on administrative and HR-related matters as needed.

• Contribute to the development and implementation of organizational initiatives and projects aimed at enhancing staff well-being and organizational effectiveness.

• Undertake additional duties as directed by the Reporting Manager, ensuring alignment with the organizational objectives and vision, thereby contributing to the overall mission of the organization.

Qualifications and Experience:

• Bachelor's degree in business administration, human resources management, or a related field. Additional HR certifications are a plus.

• 2-4 years of experience in administrative and HR roles, preferably in the non-profit sector or development sector.

• Sound knowledge of administrative procedures, HR practices, and labour laws/regulations.

• Strong organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.

• Excellent communication and interpersonal skills, with the ability to interact effectively with staff at all levels.

• Proficiency in MS Office Suite (Word, Excel, PowerPoint).

• Attention to detail and high level of integrity in handling confidential information.

• Ability to work independently as well as collaboratively in a team-oriented environment.
