Job Description

Areas of Responsibility:

• Oversee the financial operations of the organization and ensure timely and accurate financial reports and practices including cash management, payroll, financial disbursements, ledgers etc. at State office

• Responsible for entering financial information and maintaining all financial records for program and for the organization.

• Manage financial control, prepare and analyze budgets, develop financial reports, and make recommendations to the Supervisor on budget expenditures.

• Monitor the expenditures to ensure that program funds are utilized appropriately by the close of the fiscal year.

• Provide financial inputs for logistics, travel and other areas of administration.

• Oversee the preparation and submission of annual activity based project budgets as well as Monthly and quarterly financial reports

• Handhold district accountants and conduct a monthly audit of district books

• Liaise with district accountant, prepare, collate data/ reports as and when required by Head Office Core Responsibilities

• Maintain accurate and up-to-date books of accounts for HO

• Adhere to policies and procedures as defined in EG Financial Manual/ Procurement Manual

Job Title: Accountant – Non-Profit Organization

Job Overview:

The accountant is responsible for managing and overseeing the financial operations of the non-profit organization, ensuring that financial records are accurate, up-to-date, and compliant with relevant laws and regulations. The role includes budgeting, financial reporting, grant management, and coordination with donors, auditors, and regulatory authorities. The accountant plays a vital role in helping the organization achieve its mission by maintaining financial health and accountability.

Key Responsibilities:

1. Financial Recordkeeping:

Maintain accurate and up-to-date records of all financial transactions, including income, expenses, donations, grants, and investments. Process and record accounts payable and receivable, ensuring timely payments and accurate financial reporting.

2. Budgeting and Forecasting:

Assist in preparing the organization's annual budget in coordination with department heads and leadership. Monitor spending and provide monthly or quarterly budget reports to ensure that actual expenses align with budget projections. Update cash flow projections based on fundraising activities and operational needs.

3. Financial Reporting:

Prepare regular financial statements, including income statements, balance sheets, and cash flow statements for internal use, donors, and board members.

Produce financial reports in compliance with legal and regulatory requirements, including those related to tax filings (e.g., Form 990 in the U.S.) and donor-specific reporting.

4. Fund Accounting and Donor Management:

Maintain a detailed record of restricted and unrestricted funds, ensuring that each is properly allocated according to donor intentions.

Track and report on the usage of grant funds, ensuring compliance with donor restrictions and deadlines.

Reconcile donations received, acknowledging donors, and ensuring accurate record-keeping for future audits.

5. Audit Preparation and Coordination:

Assist in preparing for annual external audits, including gathering necessary documentation and working with auditors to address any questions or discrepancies.

Implement recommendations from audits to improve financial practices and controls.

6. Grant and Contract Management:

Oversee grant management processes, ensuring timely submission of financial reports to grantors and compliance with grant terms.

Track spending against grants and contracts, ensuring that funds are used appropriately.

7. Tax Compliance and Regulatory Filings:

Ensure compliance with tax regulations and oversee the preparation and filing of relevant tax returns, such as the annual tax form for non-profits.

Stay up-to-date with changes in tax laws, financial regulations, and compliance requirements affecting non-profits.

8. Internal Controls and Financial Policies:

Develop and maintain strong internal controls to safeguard the organization’s assets and ensure financial integrity.

Establish and enforce financial policies and procedures to improve efficiency and prevent fraud or mismanagement.

9. Payroll and Employee Benefits:

Process payroll and manage employee benefits, including pension funds, insurance, and other benefits in compliance with labor laws.

Ensure accurate calculation and timely disbursement of salaries and other employee reimbursements.

10. Collaboration and Communication:

Work closely with the executive team, program managers, and the fundraising department to ensure financial alignment with program goals.

Present financial information clearly to non-financial stakeholders, including board members and donors.

Qualifications and Skills:

• Education: Bachelor’s degree in Accounting, Finance, or related field. A CPA (Certified Public Accountant) or CA (Chartered Accountant) certification is preferred but not always mandatory.

• Experience: Minimum of 3-5 years of accounting experience in a non-profit organization. Experience with fund accounting and grants management is highly desirable.

• Software Skills: Proficiency in accounting software.

• Knowledge of Non-Profit Accounting: Familiarity with fund accounting principles, donor restrictions, and non-profit tax requirements (e.g., IRS 990 filings in the U.S.).

• Communication Skills: Excellent written and verbal communication skills, with the ability to convey financial information clearly to non-financial team members.
