Tdh Foundation has been working in India since 1976. In India, Tdh Foundation has been registered since 2008 as a Liaison Office. Tdh’s main programme priorities in India are Unsafe Migration, Maternal and Child Health, WASH and Emergency response. Tdh implements projects through local partners in the states of West Bengal and Jharkhand and has plans to grow its programming in other states as well. Besides financial support, Tdh supports its partners with technical support and is involved in all stages of the project – from designing to monitoring and evaluation. Tdh works at a systemic level, engaging with formal and non-formal actors, Government, service providers, civil society organisations, communities, families and children themselves to ensure the care and protection of vulnerable children on the long-term.
About the Position:
The Logistics Assistant is responsible for assisting in the logistic activity of the delegation (India Country Liaison Office) of Tdh Foundation and general work in TDH India office to ensure the effective functioning of the TDH India office. This position will be based in Kolkata and will take the assignment in the field whenever required or requested by Head of Country Office (HoCO)-India.
Reporting: HR and Logistics Officer/ Manager
Regarding Employment Contract: Initially for a period of 1 year with possibility of extension as per project requirement and subject to donor support. Probation period is 3 months from date of joining is applicable.
Main Responsibilities
Assist in maintaining, archiving & renewal of contracts and agreements of Service providers, Warehouse/Office owners, Consultants, and Partners.
Responsible for conducting market analysis to identify service providers and product suppliers.
Assist in Administration of Logistics files and ensure easy access for internal and statutory audits.
Arrange Logistics for IDO staff, visitors- booking of train tickets, flight tickets, vehicle hire and hotel accommodation.
Responsibility for the running of Administration functions like arrangements including food/ snacks, stationary for office and Conferences/ meetings, supervising dispatch of Office Mail and Phone Conferencing.
Follow up with venue representatives about details and needs of each event, provide all on-site requirements and coordinate all pre-event requests
Monitor Office vehicle movement, and ensure vehicles are maintained /serviced regularly.
Assist Log & admin related work in the supervision of HR & Logistics Officer/Manager for IDO.
Manage vendor’s database and other logistic tools.
Support HR & Logistics Officer/Manager in asset and warehouse management
Support in maintaining all online and hard copy files related to Logistics for Tdh IDO.
Issue GRN and gate pass for incoming and outgoing stock in IDO Kolkata office/ store.
Manage petty cash for day-to-day office expenses.
Monitor the maintenance of all office equipment and facilities.
Manage inventory of office supplies like stationary etc with the help of Office Assistant.
Any other tasks as assigned by the line manager.
Expected qualification and experience:
Qualifications / Experience
Bachelor’s or equivalent degree
At least three years of experience in the Logistics/ Admin domain with an international development or humanitarian organization.
Initiative to take responsibility and work with minimum supervision.
Strong communication, organizational, coordination and negotiation skills.
Experience in Procurement, Logistics and administrative arrangements
Fluency (written & spoken) in English
High and internalized professional standards, and an ability and willingness to work with commitment and independently.
Ability to adapt, to be flexible and to cope with stressful situations and tight timelines.
Competent in MS Excel, word processing is a must.
