TITLE: Finance Assistant
UNIT: India
REPORTS TO: Senior Manager: Finance & Grants
1. SUMMARY OF JOB ACCOUNTABILITIES
The Finance Assistant will work closely with Senior Manager: Finance and Grants. The major work responsibilities will include but not limited to overall handling of vendor, supplier & contractor payments, complete payroll processing, ensuring labour law compliance & staff reimbursements. The Finance Assistant will be expected to contribute to the monthly bank reconciliation process and work on accounting software like Tally, QuickBook etc. The incumbent will also contribute to Operations and Administrative tasks as and when needed.
2. RELATIONSHIPS
Internal :
Contact with all staff within the Foundation’s New Delhi office, especially the program officers on budget related discussions.
External :
Contact with vendors, suppliers on invoice and payment processing.
3. REQUIREMENTS
Experience :
At least 4+ years’ work experience in the finance domain, with specific knowledge in vendor payments, collaborative team working and payroll processing. Experience in budget control & management is a must.
Education :
Bachelor’s degree in finance or operations or equivalent degree from a recognized university. Tally and QuickBook experience would be an added advantage.
Other :
Strong verbal and written communication skills in both English and Hindi essential. Demonstrated initiative and ability to work independently. Good interpersonal skills and willingness to work collaboratively in team settings. Flexibility to engage in a wide variety of tasks in a small, start-up office.

TITLE: Finance Assistant
4. JOB FUNCTIONS
a. Complete ownership of utility bill tracking & payments to ensure timely and accurate processing.
b. Handling TAF Accounting & Book-keeping on Tally ERP and raising risks as necessary with the Senior Manager: F&G.
c. Bi-weekly Payroll processing (Time Sheet Management, EPFO & Tax Compliance), liaising with staff, bank and vendors for necessary document requirements.
d. Reviewing and Processing staff reimbursements and Maintaining Inventory details. Also, educating staff about the relevant policies and entitlements.
e. Grant File management: Auditing & Reconciliation of grant accounts, ensuring relevant reports (financial and narrative) are duly submitted and updated on portals.
f. Acting as the first point of contact for vendors; handing the legal compliances like EPFO, IT etc.
g. Providing support for bank reconciliation and budget projections & review.
h. Handling TAF Accounting and bookkeeping on Quick book.
i. Preparing and Maintaining admin spending projections (Rent, other utilities etc.)
j. Maintaining staff personnel files and ensuring all relevant letters/documents are timely filed in staff’s respective personnel files.
k. Other tasks as may be assigned by the Director, HR & Operations.
