Project Overview
The Asia Resilient Cities (ARC) Project is a five-year cooperative agreement funded by the U.S. Agency for International Development (USAID) and implemented by JSI Research & Training Institute, Inc. (JSI), with partners DevTech Systems, Inc., BRAC, and ICF. Over the course of five years, ARC will address crosscutting urban development challenges in select cities in Asia by promoting sustainable urban growth; supporting resilient, low-carbon urban infrastructure; and integrating climate change and environmentally-conscious approaches. Rajkot in Gujarat is selected to be the city of intervention in India.
The Program and Administrative Associate will help all the ARC City Project team members with different tasks. This job reports to the ARC City Project Officer and follows the guidance of the ARC Project Lead. It is a full-time position based in Rajkot.
Job Summary
The Program and Administrative Associate is responsible for providing support to the ARC city team as they organize and manage various activities as per the city action plan.
Specific responsibilities include:
Efficiently and effectively carry out administrative duties in coordination with ARC city team members to ensure that all administrative and logistical arrangements for project activities are completed.
Support all logistical and organizational aspects of meetings, workshops, and trainings, and other community-based activities as included in the city work plan.
Arrange details for engagement between ARC city team members and city officers and other stakeholders.
Draft minutes and reports of various meetings and workshops.
Make travel and logistics arrangements for the ARC team.
Facilitate periodic virtual meetings between the ARC city team and ARC global staff.
Provide assistance recording and tracking all ongoing, planned, and completed activities for the ARC project.
Manage communication tasks such as answering phone calls, responding to messages and email communications, and others as needed.
Support project financial processes as needed.
Set up and maintain a filing system for project documents, including purchase request forms, signed contracts, travel authorizations, security clearances, meeting notes, etc.
Make frequent field visits for support in execution of ARC activities
Any other activities assigned by the ARC city team.
Qualifications & Skills Required
Bachelor's degree/diploma in Office Administration/Business Management/ Procurement/ Logistics or related fields of office operations, procurement and management.
Training in communication/computer applications desirable.
Minimum of 2 years of relevant experience, demonstrating proven administrative, logistics or office management skills.
Experienced in organizing and setting up audio-visual equipment for virtual/in person official meetings, experienced in organizing online meetings through popular online platforms (e.g. Zoom, Microsoft Teams) and other relevant IT applications.
Demonstrated ability to conduct multiple concurrent tasks, meet tight deadlines, and pay close attention to detail.
Ability and willingness to travel with ARC team within the city.
Strong initiative and self-motivation required, with a commitment to teamwork and effectiveness within a multicultural, collaborative team.
Candidates based in Rajkot, Gujarat will be given preference.
