Coordination & Monitoring
• Responsible for overall coordination, monitoring and effective implementation of the Naya Daur programme as per Annual Work Plan.
• Shall be overseeing the expansion of the Naya Daur, the community survey and smooth implementation of the project in new wards.
• Ensure all clients enrolled under the program receive regular services e.g. doctor’s visit, medicine, counseling, food, clothes, hygiene, and other emergency or non-emergency services as per need.
• Conduct assessments and provide case management services to clients enabling them to develop self-sufficiency skills and provide appropriate linkage to support and community services.
• Work closely with Reintegration Team to ensure clients gain entitlements and employment based on client need assessment. Ensure protocol and program departure procedures with clients for restoration and post-restoration follow-ups.
• Organize and participate actively in Medical Camps, Awareness Camps, and Advocacy meetings, Case Conferences.
• Ensure identification of new caregivers and ensure their engagement, capacity building module, regular interaction and retention.
• Identifying and establishing professional relationship with police officials, Govt. health service providers, local NGOs & CBOs, KMC ward counselor, organizing advocacy meetings.
• Motivate NGOs and other related organizations to provide shelter support to the homeless person with psychosocial disability.
• Facilitate project visits by donors, guests, partners, interns/volunteers, research fellows and others.
• Ensure compliance to statutory obligations, protocols, rules (Govt. or otherwise) and organization policies.
• Provide adequate monitoring in areas like day-to-day operations, clients' files, clients status, quality of intervention being provided, scale administration, inventory, movement and communication logs, MIS, visual documentation (photos) and outdoor duties.
• Identify clients who require shelter care and coordinate with Shelter Supervisor to follow procedures for admission to Shelter Programme including Police Intimation/lodging General Diary at the local Police Station.
• Arrange hospitalization of Shelter Residents if required and attend and follow up such cases until the clients are released from the hospital.
• Immediately report suspected neglect/abuse to the Secretary.
• Elevate pertinent client concerns to the Secretary in a timely manner.
Documentation, Reporting & Meetings
• Document any notable client interactions with staff, volunteers, research fellows and/or other clients.
• Review patient registers/files, medicine disbursal sheets at the beginning of each day.
• Update patient records every day as is received from field staff.
• Send the weekly updated MIS to the Assistant Director, Program Officer and MIS Officer.
• Prepare and share donor reports as per report calendar and need.
• Update Computer Anti Virus programs weekly and ensure back up of all computer files.
• Ensure updated submission of weekly Counselling, Client interaction sheets, Activity reports by reporting staff.
• Organize, confirm, and update information in resource binders.
• Submit qualitative and statistical report.
• Submit monthly reports by the 5th of every month.
• Document and respond to critical incidents according to policy.
• Ensure and maintain meeting minutes.
• Attend and participate in weekly program team meetings with Counsellors, Social Worker, Restoration Officer and Psychiatrist.
• Attend quarterly agency-wide staff meetings.
• Participate in agency wide long term strategic planning.
• Participate in appropriate task committees to be set up to monitor homelessness programs in the city.
Team Management & Development
• Facilitate team growth with the Circle Leadership principles in mind.
• Ensure efficient working of the department and alignment to organization's goal & project's goals.
• Ensure capacity building of the team, conflict resolution and observation of workplace protocol
• Manage team to ensure that all members are capable of completing assigned tasks
• Orient new staff and conduct probation period assessment as needed.
• Coach and counsel team members as needed
• Implement corrective action when necessary in consultation with Asst Directors and HR Officer
Asset Management, Office Management, Budget & financial Management
• Ensure maintenance of computer (hardware, software, anti-virus) and accessories such as printer and pen drives, monitoring internet usage, data backup, and other project equipment such as digital camera, stationery requisition and monitoring usage, furniture and electrical equipment, ensuring workplace hygiene, cleanliness, safety of team members.
• Manage cash advance requisition, monitoring of expenses and bill settlement, purchase visits, submitting bills to the accounts department, ensure expenditure as per budget, meeting budgetary targets.
Inter Team Support & Support to the organization as a whole
• Provide support to other project teams as required.
• Participate in event committee meetings and assist in organizational events.
• Participate in various trainings and workshops.
• Participate in various outdoor activities of projects.
• To carry out other duties as may reasonably be required from time to time.
