Job Description

Overview:

We are seeking a detail-oriented and skilled MIS Executive to join our team. As an MIS (Management Information System) Executive, you will be responsible for collecting, analyzing, and presenting data. You will maintain and update internal data systems, produce reports, and ensure that data-related processes are efficient and accurate. This role requires excellent analytical skills, proficiency in Excel or other data analysis tools, and the ability to work with large datasets.

Key Responsibilities:

MIS Reporting & Analysis:

• Develop and maintain Management Information Systems (MIS) to track and report key performance indicators (KPIs) for programs and projects.

• Prepare and update periodic reports, dashboards, and performance summaries for internal stakeholders.

• Perform detailed data analysis to identify trends, gaps, and provide actionable insights to inform decision-making.

• Ensure consistency, accuracy, and integrity of data across multiple reports, databases, and systems.

Data Entry & Management:

• Accurately input text-based and numerical data from source documents within specified timeframes.

• Verify, organize, and validate data for accuracy, ensuring completeness before input.

• Review and correct errors or discrepancies in data as required.

• Regularly update and maintain databases, archives, and filing systems to ensure up-to-date information is available.

• Generate data reports and perform backup operations to safeguard work.

Document Handling:

• Scan, print, and export documents and data as necessary for project reporting and documentation.

• Create spreadsheets, reports, and data summaries to support operational activities.

• Organize, compile, and digitize project-related documents, ensuring easy access and retrieval.

Data Integrity & Security:

• Ensure adherence to data security and confidentiality policies across all data management processes.

• Safeguard the integrity of all data, performing regular checks and audits for accuracy.

• Address queries regarding data and provide relevant files or information as requested, following the organization's privacy and security guidelines.

Collaboration & Support:

• Collaborate with program teams, clients, and stakeholders to provide clear data-driven insights and explain complex data analysis results.

• Prepare PowerPoint presentations and assist in preparing reports for meetings, conferences, and presentations.

Office Equipment & Operations:

• Ensure the proper operation of office equipment related to data entry tasks (computers, printers, scanners, etc.).

• Assist in maintaining office supplies and equipment necessary for data management activities.

Qualifications, Experience, and Competencies:

Qualifications:

• High school diploma or equivalent (Bachelor’s degree in a relevant field is preferred).

• Additional training or certification in computer applications, data management, or information systems is an asset.

Experience:

• Proven experience in data entry, preferably as a Data Entry Operator or Office Clerk.

• Hands-on experience with MS Office (Excel, Word, Outlook) and other data management software.

• Familiarity with administrative tasks and office equipment (e.g., fax machine, scanner, printer).

Essential Skills and Competencies:

• Strong typing speed and accuracy with attention to detail.

• Excellent knowledge of spelling, grammar, and punctuation.

• Ability to handle sensitive information and maintain confidentiality.

• Strong organizational skills, with the ability to prioritize tasks and meet deadlines.

• Ability to analyse data and generate clear, actionable insights.

• Good communication skills, with the ability to explain complex data findings in simple terms.
