Position: Admin and Finance Manager

Reporting to: Senior Accounts Manager
Job Summary: The Admin and Finance Manager will be responsible for overseeing the administrative, financial, and operational functions of Prayatna. This role requires strong leadership, organizational, and financial management skills to ensure compliance with regulatory requirements, effective resource allocation, and efficient support services for program implementation.
Key Responsibilities:
1. Financial Management:
• Develop and implement financial policies, procedures, and controls to ensure transparency, accountability, and compliance with legal and donor requirements.
• Prepare annual budgets, financial forecasts, and cash flow projections in collaboration with senior management and program teams.
• Monitor budget performance, analyse variances, and provide regular financial reports to inform decision-making and resource allocation.
2. Accounting and Bookkeeping:
• Oversee day-to-day accounting operations, including accounts payable, accounts receivable, payroll processing, and bank reconciliations.
• Maintain accurate financial records and ledgers, ensuring completeness, accuracy, and timeliness of transactions and entries.
• Coordinate with external auditors, tax authorities, and regulatory agencies to facilitate audits, filings, and compliance reviews as required.
3. Grants and Contracts Management:
• Manage grant agreements, contracts, and donor agreements, ensuring adherence to terms, conditions, and reporting requirements.
• Prepare financial reports, invoices, and donor compliance documents in accordance with grant agreements and funding guidelines.
• Monitor grant expenditures, track project budgets, and provide financial analysis and recommendations to program managers and senior leadership.
4. Administrative Operations:
• Supervise administrative staff and support personnel, including office assistants, receptionists, and drivers, to ensure smooth day-to-day operations.
• Oversee office procurement, inventory management, and asset maintenance, optimizing cost-effectiveness and efficiency.
• Coordinate logistical arrangements for meetings, workshops, events, and travel, including venue bookings, travel arrangements, and accommodations.
5. Compliance and Risk Management:
• Ensure compliance with legal, regulatory, and statutory requirements related to financial reporting, taxation, labour laws, and NGO governance.
• Identify and mitigate financial and operational risks through risk assessments, internal controls, and mitigation strategies.
• Stay abreast of changes in relevant laws, regulations, and accounting standards, and update policies and procedures accordingly.
Qualifications:
• Bachelor’s or master’s degree in finance, accounting, business administration, or related field required.
• Professional certification such as CA, CPA, ACCA, or equivalent preferred.
• Minimum of 5 years of experience in financial management, accounting, and administration, preferably in the nonprofit sector or NGO environment.
• Strong understanding of financial principles, budgeting, grant management, and donor reporting requirements.
• Proficiency in accounting software, financial management systems, and Microsoft Office suite.
• Excellent leadership, communication, and interpersonal skills, with the ability to work collaboratively in multicultural teams.
• Demonstrated ability to prioritize tasks, meet deadlines, and manage multiple responsibilities effectively.
• Fluency in Hindi and English, both written and spoken.
Remuneration: Rs.40,000 to 50,000, commensurate with experience and qualifications.
