Position Title: Office Assistant cum Computer Operator
Location: Jaipur
Reporting To: Senior Manager
Position Overview:
We are seeking a detail-oriented, technically proficient, and motivated Office Assistant cum Computer Operator. This role combines administrative support with IT-related responsibilities, including data management, periodic website updates, and office coordination. The ideal candidate will bring strong organizational skills, technical expertise, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
(a.) Administrative and Office Management:
1. Create and maintain updated documents, spreadsheets, and databases, including on Google Drive.
2. Manage administrative and logistical aspects of office activities such as workshops, meetings, travel arrangements, and events.
3. Organize and maintain office supplies, including procurement and inventory management.
4. File and manage important documents systematically and maintain the organization's filing system.
5. Handle correspondence, including telephone calls, emails, letters, and packages.
6. Support general maintenance tasks such as repairs and updating equipment.
(b.) Data Entry and Documentation:
1. Perform accurate data entry and maintain data integrity across digital formats.
2. Prepare and format reports, presentations, and other documents.
3. Design and prepare materials such as posters, pamphlets, and letterheads for organizational needs.
4. Handle social media accounts (e.g., Facebook, Instagram, WhatsApp).
(c.) Technical Support and IT Operations:
1. Periodically download data from the website and prepare reports.
2. Share data, content, and images with the website service provider for updates.
3. Liaise with software service providers to ensure timely resolution of technical problems.
4. Assist with troubleshooting and maintenance of office equipment, including printers, projectors, and other IT-related gadgets.
Qualifications and Skills:
• Bachelor’s or Master’s degree in Computer Applications (BCA/MCA) or a related field or Bachelor’s degree in Business Administration/Management (preferred for administrative focus).
• Proficiency in Microsoft Office (Word, Excel, PowerPoint).
• Familiarity with basic data handling and IT processes.
• Soft Skills:
• Excellent organizational and multitasking abilities.
• Strong communication skills, both verbal and written, in English and Hindi.
• Attention to detail and ability to work under minimal supervision.
Additional Requirements:
• Minimum 2 years of experience in a similar role.
• Typing skills in Hindi and English.
• Ability to work with Coral Draw and similar tools for creative materials (desirable).
• Experience with social media management and promotional content creation.
• Problem-solving attitude and willingness to learn.
Remuneration:
The salary for this position will be in line with market standards, keeping in mind the financial structure of our NGO. While we ensure fair compensation for the role and responsibilities.
