Job Summary

We are seeking a highly organized and detail-oriented Data Entry Assistant to handle various administrative tasks. This role involves receipt generation, data reconciliation, claim verification, lead assignment, and printing address labels using mail merge for physical mailers related to birthdays and special occasions.

The ideal candidate should have excellent attention to detail, the ability to multitask efficiently, and strong experience with data entry and administrative processes. 

Job Description

Data Entry & Receipt Generation:

Input data related to receipts and transactions into organizations databases and systems.

Generate and issue receipts for donor transactions.

Reconcile financial data to ensure accuracy and completeness of receipt records.

Lead Assignment & Claim Verification:

Assigning leads to the appropriate departments or team members based on predefined guidelines.

Verify claims submitted for accuracy, completeness, and eligibility, ensuring that all required documentation is provided.

Address Labels Printing:

Use mail merge to print address labels for physical mailers.

Organize and prepare mailers for special occasions such as birthdays and festivals, ensuring timely delivery.

Maintain an up-to-date list of recipients for occasion-based mailers.

Skills, Qualifications & Experiences

Any bachelor’s degree or equivalent; additional education or certifications in business administration or related field is a plus.

Proven experience in data entry, administrative support, or a similar role.

Strong proficiency with Microsoft Office Suite, especially Excel and Word (for mail merge tasks).

Strong organizational and time management skills, with the ability to manage multiple tasks simultaneously.

Ability to work independently and as part of a team.

Analytical Problem Solving: Analyzes information to understand relationships, patterns, causes and effects, integrates data, and checks facts. This is done with both qualitative and quantitative information, making rational and timely judgments on the basis of the information that is available.
