We provide technical advisory, institutional strengthening, and portfolio & knowledge management support to organizations working across the health, water & sanitation & Gender equality space. \
We are seeking an experienced Admin & Operations Manager to join our growing team. S/he will be responsible for providing administrative, coordination and financial management support. Individuals applying for this position must be self-starters, action driven, flexible, thrive in a fast-paced environment, excel at managing multiple priorities, and successful in communicating with all levels within the organization and externally.
Core Responsibilities:
Responsible for a broad variety of administrative tasks including:
Contract Management: Managing end-to-end contracts – including employee contracts, donor contracts, and vendor contracts.
Accounts Management: Check, process, and record all payments, administer invoices and expenses claims received, code items to agreed budgets, and action payments.
Reconcile transactions and ensure that the financial management system is kept up to date.
Procurement: Responsible for all procurement-related activities, identifying vendors, specifications, cost comparisons, and completing procurement.
Support and manage IT-related administration activities (e.g., creating shared folders, managing mailing lists, etc.)
Managing an active calendar of appointments; planning and scheduling meetings, appointments, and conferences; completing expense reports; and arranging travel plans, itineraries, and agendas
Undertake general admin tasks under the direction of Co-Founders
Required qualifications and experience
Experience:
At least 6 years’ experience in an administrative and financial management role.
Education:
A university degree in Business Administration/Commerce/Accounting/Finance.
Required skills and Competencies
It is essential that the post holder has the following:
Excellent communication skills – both verbal and written
Proficiency in working with Microsoft packages, including Outlook, Word and Excel.
Accuracy in reporting detailed financial information
Ability to work as part of a team, as well as on own initiative
Confidence in liaising with external organizations
Ability to work under pressure, plan and prioritize own workload, manage competing tasks and meet deadlines.
