Request for Quotation to hire an Agency for “Wall Painting” in Karnataka

A.  Background

Institute for Global Development is undertaking a unique campaign designed for reinforcing message to promote the consumption on iodine deficiency. We want to hire a wall paint agency for two wall paintings in selected villages of Karnataka district. We would be very grateful to you if you could provide us the quotation of the approx. two wall paintings (10 feet* 10 feet) with two logos and message on urgent basis. We would be requiring approx. two wall painting quotation in the initial state.

B.Scope of Service

Extra emulsion with EXPA 7 (costliest) with durability for 7 years.

Extra emulsion with EXPA cool (average cost) with durability for 5 years.

Extra emulsion with Shingaar (cheapest) with durability for 3 years.

Photographs (4-5) of high resolution per event for documentation purposes.

The scope of work DOES NOT include development or printing of IEC material (banner, posters, leaflets, hoarding, etc.) and development of exit interview formats. IGD team has already developed the IEC material or formats and will not enter this cost in the budget.

C.Eligibility Criteria

 IGD invites agencies having expertise in role plays satisfying the following said conditions:

Agency should have minimum experience of at least 2-5 years in the field of Marketing and Promotion Activities.

Previous experience of working in Karnataka will be preferred.

D. Engagement Period:

The initial period of contract shall be for 15 days.

E PROPOSAL SUBMISSION

 The Agency shall submit financial proposals separately for this assignment latest by October 16, 2024. Kindly provide the quotation including GST, other logistics arrangements.

 F.OTHER TERMS

The Agencies shall submit their proposals at their own cost and risk and IGD shall not make any payments towards the same.

The Agency shall carry out the scope of work with due diligence and verify the data with complete responsibility.

IGD assumes that the Agency has complete clarity and understanding of the scope and objective of the assignment. The quoted fees will be considered inclusive of all expenses including applicable taxes.

The proposal shall be valid for the period of 60 days from the last date of submission of the Proposal.

The agency will be responsible for all local permissions/approvals necessary for smooth implementation of the activities.

IGD reserves the right to reject all or any quotation(s), wholly or partly, without assigning any reason whatsoever.

IGD team reserves the right to request the top 3 proposals for an in person presentation.

IGD reserves the right, in its sole discretion, to conduct negotiations in accordance with IGD and/donor’s policies and procedures and to request additional information from prospective Bidders to supplement or clarify any aspect of the proposal documents if such revisions will be in the interest of our programs

Only shortlisted agencies will be contacted.

IGD shall not be legally bound by any award notice issued for this RFP until an Agreement is duly signed and executed with the winning bidder(s).

Further details will be shared with shortlisted agencies.

Application Process:

All applicants (company/agency/institutional) if applicable, should follow the Government of India guidelines/policy for the Prevention of Sexual Harassment (PoSH) at the workplace. As part of the application process, you are required to share the status of the Internal Complaints Committee (ICC). If the committee is not incorporated, then under what criteria is it not enacted?

Interested agencies/organisations/individuals must submit the proposal for the case stories development, highlighting the process, portfolio of past work, financial proposal, and the timeline for the project. The technical and financial quotations should be sent in soft copy over email at jobs@igdindia.org by October 16, 2024 with the subject line “RFP for wall painting_Karnataka”. Incomplete applications and applications received after the deadline will not be considered for the selection process. The selection team will only contact applicants who have been shortlisted for the process.

IGD has a policy of erasing all confidential information, ideas/concepts submitted in proposals/applications after the selection process is completed. "Confidentiality of Applicants" IGD shall not be liable to share the list of shortlisted applicants with any party outside the organisation. The organization takes all necessary measures to protect the confidentiality of applicants, and shall not disclose any personal information, process and data related to the application, except as required by law.
