M&E and Reporting Officer
The purpose of this job is to fill the position of M&E and Reporting Officer as an existing reporting line in HPPI.
We need a resource in the office of the Grant Administration, Monitoring and Evaluation team who will conduct evaluations and assessments of development projects/programmes of HPPI and produce periodic reports for the partners. Such products will be needed either to comply with the partners' requirements or to facilitate the National Partnership Team for advocacy for the expansion and development of the organizational goals. This means raising more funds for new partnerships and expansion of existing partnerships by making the partners from corporations, foundations and government realize the need, efficacy and impacts of the projects for the vulnerable population, which has an immense value and proven design for replication.
The M&E and Reporting Officer will be responsible for 10 to 15 development projects in the areas of Education, Livelihood and Women Empowerment, Health, and Environment. The officer will do evaluations, and assessments to measure the effectiveness and impact of various programs, projects, or interventions and produce quality periodic reports to share the progress with the partners and other project stakeholders. The role also involves conducting periodic review meetings, and project visits to ascertain the quality of project implementation and support the projects to take corrective measures. He/she will collaborate closely with internal teams, stakeholders, and partners to ensure the quality and validity of project outcomes.
He/she will work closely with Project implementation teams, data management team, partnership team and project support team to ensure a smooth project implementation and assess the project outcomes. He/she will be responsible for making quality reports, which should reflect the benefits, the community is receiving for a sustainable and dignified life. The position will require travel to project locations pan India.
The M&E and Reporting Officer will be required to:
1. Evaluation and Assessment:
a. Evaluate the performance, outcomes, and impact of programs, projects, or interventions based on predetermined criteria and benchmarks.
b. Assess the relevance, efficiency, effectiveness, sustainability, and replicability of initiatives.
2. Reporting and Documentation:
a. Prepare clear, concise, and evidence-based reports documenting outcomes, conclusions, and recommendations.
b. Share periodic reports with the project teams, stakeholders, management, funders, and other relevant parties as agreed.
c. Ensure that reports adhere to quality standards, compliance requirements, and ethical guidelines.
3. Collaboration and Communication:
a. Collaborate with cross-functional teams, subject matter experts, and stakeholders to coordinate M&E activities and ensure alignment with organizational goals.
b. Communicate progress, challenges, and outcomes effectively through regular updates, meetings, and presentations.
4. Quarterly Review meetings
a. Conduct Quarterly Review meetings of the project to assess the implementation and financials together with the Project Leader, Partnership Holder, Economy and Administration and the Program Support Team.
b. Document the minutes and prepare an action taken matrix and review the ATR from the last meeting to assess the actions taken.
c. Follow up on the actions with the Project leader.
5. Project visits
a. Make periodic monitoring visits to the projects to assess the project implementation and act together with the Project Leader for corrective measures, if required.
b. Meet with the project stakeholders and beneficiaries and document case stories, voices, and anecdotes, and assess the project outcomes to reflect in the periodic reports.
c. Take or collect quality pictures for the reporting.
d. Make project visit reports and share them with the project’s internal stakeholders.
6. Update the partner files, server, and grant administrative tools.
a. Update all the partner files with agreed documents, progress and financial reports, communication, review meeting minutes, visit reports, and other relevant documents and the same to be updated digitally in the server.
b. Update and maintain the grant Overview and other planning tools for day-to-day administration.
Qualifications and Skills:
a. Master’s degree in a relevant field such as social sciences, public policy, economics, statistics, or related disciplines.
b. Proven experience of minimum 2 years in conducting evaluations, assessments, reporting or similar activities in a professional setting.
c. Professional English language skills
d. Strong analytical skills with proficiency in quantitative and qualitative data analysis.
e. Excellent communication skills, including the ability to present complex information clearly and effectively to diverse audiences.
f. Ability to work independently, manage multiple projects simultaneously, and meet deadlines under minimal supervision.
g. Diligence, critical thinking abilities, and a commitment to producing high-quality outcome and impact reports.
h. Experience working in international development, nonprofit organizations, government agencies, or research institutions is desirable.
i. Willing to travel pan India.
